As an Office and Business Assistant, you will be responsible for providing administrative support to our team, coordinating office activities, and collaborating on events and projects. You will be the first point of contact for many of our visitors and callers and will be expected to provide exceptional customer service and support. In your new role, you will: Coordinate office activities : Maintain organized electronic and physical filing systems and databases; Handle and respond to queries via telephone and e-mail; Manage incoming and outgoing mail; Ensure all necessary office supplies are in stock by maintaining inventory and proactively ordering; Manage the company fleet; Serve as the first person of contact for travel and general company orders Collaborate on Events: Plan and execute company events; Welcome and direct visitors; Work with team members to support various projects and initiatives Support Health & Safety: Act as Deputy and provide general support to the Health & Safety Technician; Assist with queries or actions outlined in the yearly plan Help with Meetings : Schedule meetings; Assist with meeting room management, agenda and event organization; Take notes and summarize discussions Work on Ad-hoc Initiatives: Prepare reports and presentations for internal and external distribution; Review intranet content; Support the senior director with administrative organization; Prepare speeches and posts using company information or other relevant searches by selected themes Assist with Internal policies: Help prepare manuals and guidelines; Maintain manuals up to date; Monitor and follow-up process exceptions You are a highly motivated professional with high-quality standards. You are confident and communicative, being able to work independently in a fast-paced environment. You are a proactive problem-solver who prioritizes tasks effectively with a keen eye for improvements. You are best equipped for this role if you have: A University degree in a relevant field At least 3 years of experience in an administrative assistance role Previous experience in Health & Safety is desirable, but not essential - willingness to learn is required Advanced knowledge of MS Office Suite (PowerPoint, Word, Excel, Outlook) Ability to work in a fast-paced environment prioritizing multiple tasks and working independently Establish and maintain effective working relationships Proficiency in English Please send us your CV in English .Contact: Luis Oliveira, LinkedIn#WeAreIn for driving decarbonization and digitalization.
